The problems we solve

Where transporters lose money quietly

The pain

Driver expense leakage

Diesel ₹5,000 advanced. Receipt for ₹4,200 returned. ₹800 gone. Multiply by 50 trips/month, 20 drivers. That's ₹8 lakh a month leaking out through petty cash. No one reconciles because there's no system.

AskBooks fix

Per-trip driver expense tracking with advance and settlement. Receipt photo upload from driver app. Variance flagged instantly. Driver-wise monthly leakage report for accountability.

The pain

Detention and demurrage forgotten

Truck waited 8 hours at the consignee warehouse in Bhiwandi. Detention ₹4,000 due as per contract. Driver didn't log it. Billing team didn't know. Money lost — every single month on dozens of trips.

AskBooks fix

Auto-track time at loading and unloading. Detention alert when contracted free hours exceeded. Detention charge auto-added to the consignment freight bill. No manual tracking needed.

The pain

Fleet utilisation blind spot

Truck-A does 22 trips/month. Truck-B does 8. Both cost the same in EMI and insurance. You don't have the data to reallocate routes or renegotiate contracts with better-utilised assets.

AskBooks fix

Per-truck utilisation dashboard showing trips, idle days, km run, revenue generated. Maintenance impact on downtime analysed. Route-wise profitability lets you focus on winners.

Compliance

All the compliance logistics needs

GST on freight, e-way bill, TDS 194C, RCM — fully handled.

GST 12% on freight
Road transport freight attracts 12% GST. GTA services under RCM when recipient is registered business. AskBooks handles both scenarios.
Reverse Charge (GTA)
When goods transport agency (GTA) provides services to registered businesses, recipient pays GST under RCM. Auto-identified and posted.
E-way bill
Mandatory for goods movement above ₹50,000. Generated from LR. Part-B updated on vehicle change. Expiry extension and cancellation supported.
TDS 194C (freight agent)
1% TDS on truck owners and freight brokers. 2% on companies. Auto-deducted on each payment. 26Q quarterly return. Form 16A generated.
TDS on driver salary
Driver salaries above ₹5 lakh/year subject to TDS under Section 192. Monthly computation. Form 16 at year end.
PF/ESI for drivers
Employed drivers covered under PF and ESI. Monthly ECR and ESI challan. EPFO inspection reports on demand.
Vehicle fitness compliance
Vehicle-wise fitness certificate expiry and insurance renewal date alerts. Non-compliant vehicle highlighted before assigning to trip.
GST GSTR-1 for transport
Freight invoices auto-compiled into GSTR-1. SAC code 9965 for road transport. Service recipient GSTIN auto-populated.

Detention recovery alone added ₹1.4 lakh per month to our top line. We didn't even know we were losing it. And the driver expense tracking stopped the petty cash drain immediately — ₹80,000 a month that was just disappearing.

FAQ

Frequently asked questions

How does Reverse Charge Mechanism (RCM) work for transport?

When a GTA (Goods Transport Agency) provides services to a GST-registered recipient, the recipient must pay GST under RCM at 12%. The recipient claims ITC on this tax. AskBooks auto-identifies GTA transactions and posts them under RCM. The GTA can also opt to pay GST at 5% without ITC, which AskBooks also supports.

Can AskBooks generate e-way bills directly?

Yes. E-way bills are generated from LR data with a single click. The GST portal integration uses your GSTIN credentials. Part-B updates (vehicle change) and expiry extensions are also handled. Bulk generation for daily dispatch is supported.

How is TDS on freight payments handled?

TDS under Section 194C applies at 1% for individual truck owners (HUF) and 2% for others on freight payments exceeding ₹30,000 per transaction or ₹1 lakh per year. AskBooks auto-checks the threshold, deducts TDS, maintains deductee-wise records, and generates 26Q quarterly returns.

Can drivers use a mobile app to upload expenses?

Yes. The AskBooks driver app allows drivers to enter trip expenses, photograph receipts, update loading/unloading times, and submit their trip expense statement. The data syncs to the main system where the accounts team reviews and settles.

Does AskBooks handle inter-state and intra-state freight differently?

Yes. Inter-state freight attracts IGST (or RCM on recipient). Intra-state attracts CGST + SGST. AskBooks auto-identifies the transaction type based on origin and destination states and applies the correct GST treatment on every LR.
