GSTR-2B reconciliation: your monthly 3-day task in 30 minutes
If you're still reconciling GSTR-2B in Excel, you're burning days every month and almost certainly missing ITC. Here's the modern approach.
2A vs 2B: what's the difference?
GSTR-2A is a dynamic statement — it updates whenever a supplier files a return. GSTR-2B is a static, point-in-time snapshot generated on the 14th of every month. From October 2022, ITC is governed by 2B, not 2A. So 2B is what matters for your monthly filing.
Why bother reconciling?
- ITC eligibility — you can only claim ITC on invoices that appear in your 2B
- Mismatch penalties — claiming ITC not in 2B can trigger interest at 24% p.a.
- Supplier follow-up — you can identify suppliers who haven't filed
- Cash flow — reconciling early means claiming ITC in the right period
The old way
Download 2B JSON from the GST portal. Convert to Excel. Match against your purchase register manually. VLOOKUP. Cry. Repeat for 6 GSTINs. 3 days gone.
The AskBooks way
1. Auto-fetch 2B
Connect your GSTIN once via OTP. We pull 2B for all your registered states automatically on the 15th of every month.
2. Auto-match purchase register
Our matcher uses invoice number, GSTIN, date, and amount. Exact matches go green. Partial matches (e.g., date off by a day) go amber. No matches go red.
3. Bulk-action mismatches
Select 50 partial matches, accept all. Select 20 missing-in-2B, mark as "follow up with supplier" — we send a WhatsApp nudge automatically.
4. Lock and file
Once reconciliation is clean, the eligible ITC flows into your GSTR-3B draft. Review, lock, file directly from AskBooks.
Common mismatches and how to handle them
- Rate differences — supplier charged 18% but you booked 12%. Reach out, get them to amend.
- Missing invoices — supplier hasn't filed. Park the invoice as ineligible until they do, then reclaim.
- RCM (reverse charge) — these don't appear in 2B by design. Track separately.
- Credit notes — match against the original invoice; net out the ITC.
- Amendments — original and amended both show. Use the amended figure.
What to do with unresolved mismatches
- Document the mismatch in your reconciliation log (auto-saved in AskBooks)
- Send a follow-up to the supplier (we automate this)
- If unresolved by the 20th, defer the ITC claim to the next month
- If supplier is non-responsive for 3 months, treat as bad ITC and write off
Sanity-check before filing
- Total ITC in 3B does not exceed eligible ITC in 2B + RCM
- No double-claim across months
- Reverse charge entries reflected in both Table 3.1(d) and 4(A)(3)
- Net cash payable computed correctly
